Q:-Michael works as a sales representative in the new south wales showroom and warehouse of the wood panel division of a large australian company woodstone. Senior buyers for a large kitchen joinery firm based in queensland and Victoria visit the new south wales showroom and show a keen interest in products Michael is able to make further contact with this client firm by letter,telephone and personel visit.
a.Outline the advantages and disadvantages of three possible channels of communication.

ANS:- LETTER


ADVANTAGES

1 Provides written communication
2 visual information is included
3 Can range from one to many pages
4 Doesn’t use any electronic means so is a lot cheaper

5 A written record of the message will be kept
6 The message is communicated in written format and therefore should be unambiguous
7 Can contain detailed information such as figures
8 Enables long distance communication to take place



The disadvantages to this method are:
• Can take time to deliver
• Can be lost
• Not 100% sure of security , can easily be opened and read or sent to the wrong address
• Takes time to produce letter and can be inconvenient if an urgent message has to be delivered
• No guarantee or assurance that message has been received unless feedback has occurred
• If recipient does not understand any information, then they have to reply to the message stating the problem and then wait for another message reply from the sender.

TELEPHONE:-
ADVANTAGES
We are able to contact any person at any time because of this it is much faster than the older methods of writing a letter.

As it is electronic
it wont take your much of money nor will it waste your tim eand message will get across in time


Disadvantages: Telephone: We cant take it wherever we go so we will not be able to receive phone calls , it occupies lot space , needs lots of
. connections

Telephones can also increase misunderstandings because of the unavailability of body language and expressions and expressions.

PERSONEL VISIT:-
Advantage:1. You can brand yourself well.
2. Freedom of Speech and ability to say what you want without worrying about what others say
3. share your point of views with others ,personal,technical,professional and soso..,at the same time, you can gain
other's valuable opinions,broad your view


Disadvantage:1. If you are not good at expression, it will cause a lot misunderstands..

2.It gets too boring too quickly

b.Deciede which of them he should use for the first follow up contact with this potential client.Give reasones for your choice of channel.

ANS:-According to my view telephone is best medium of communication:-
1.It is faster then others.
2.It is easy medium to communicate.
3.It is cheaper then other.


Q:-2aOne of the most important skills that any person in an organization needs is the ability to communicate.Without communication your other skills are less useful.Explain.
ANS:- Good communication skills are skills that facilitate people to communicate effectively with one another. Effectual communication engages the choice of the best communications channel, the technical know-how to use the channel, the presentation of information to the target audience, and the skill to understand responses received from others. Self development, interpersonal skills, mutual understanding, mutual cooperation and trust is also important to set a complete channel of most effective and winning communication skills.
1. Expressive skills are required to convey message to others through words, facial expressions and body language.
2. Importance of communication skills can never be ignored or neglected. These skills are the key to executing good management skills.
3. Skills for managing the overall process of communication help to recognize the required information and develop a strong hold on the existing rules of communication and interaction.
2b.Should an organization train its staff in workplace communication? Give reasons.
Ans:-
The modern world today, calls for high scale effective communication skills in order to win the heavy competition in all spheres of life. Self development, interpersonal skills, mutual understanding, mutual cooperation and trust is also important to set a complete channel of most effective and winning communication skills.



So it is necessary to give training to staff.There are some reasons :-


1.A good style of management, as well as a positive approach to communication, ensures that an employee and a supervisor understand each other, and are more effective at the workplace.
2.Ineffective or poor communication is frustrating for employees, and becomes a source of a conflict.

1. One day when someone call me for job interview through phone that I. will reach in office at 10a.m but I heard 11a.m due to fault in network.
2. One day my friend asked me that her birthday coming on 3Aug but I heard 13Aug.
3. One day my sister asked me to bought copy marker but I heard only copy.
B.1 In the first statement the communication barrier was fault in channel.
2.In the second statement barrier was noise in train.


3.In the third statement the interrupting of another person.
C.1I should ask her to repeated the timing.
2.I should call her when I am in quite place.

3.I should not talk to another person when I was talking on mobile.
D. 1.If you go to a country where you are a stranger and no one over there knows your language, nor do you have any idea about their languages, if it happens that you are forced to stay there for a long period and as you have no body to talk to, all your thoughts will have an impact only on yourself and these impacts will have severe repercussions on your health; in some of these circumstances you can have psychological problems also.
2 . In the first instance it must be acknowledged that religion and greed has been the ultimate reasons for the animosity and intolerance plaguing the world today.
3.. If we are oblivious to the different methods of communication, then we can fall victim to the various pitfalls many people suffer from but are blissfully unawares.

When they are talking about new soft ware procedures ,telephone call and person caused barriers in their communication. In the meeting they can’t decide that who will present the new software.

5.aEffective communication in the workplace provides employees with a clear understanding of what is demanded from them, with knowledge of what to do and what to expect. For organizations, such a communication style creates effective performance of the staff, and, consequently, increases customer loyalty and profit.

Lack of effective communication may lead to:
• Misunderstandings
• Lack of information
• Decrease in employees’ performance
• Decrease in company’s turnover, as a result



b.Message is ideas and feelings of sender which he send to receiver.Channel is a medium of sending and getting information.
c.Feedback totally depend on receiver’s perception and experience.If receiver gets it as a positive way ,the process of communication goging on.

e. For certain individuals who live in noisy areas, the adoption of a lifestyle that is nearly devoid of communication and social interaction can result. If noise interferes with their communication, they stop talking, change the content of their conversations, talk only when absolutely necessary, or frequently repeat themselves.Some example of noise :-
• Appliances in the home such as mixer grinders, vacuum cleaners, washing machines, etc. together cause a cumulative sound of about 87 dB. This itself is above the sound limits in most areas. On top of that, if loudspeakers, television sets and music systems are used with high volumes, then we can well imagine how much noise pollution is being created.
• Small factories using single unit machines would cause a sound of about 98 dB and above. The sound will definitely go higher as the number of machines increase.
• Airplanes cause the highest sound among all – 150 dB. But road vehicles are also great contributors of noise pollution. These vehicles include the trucks, buses, tractors, SUVs and even motorcycles and most cars.
• Then there are lots of environmental sources of noise pollution that cannot be ignored. Continuous noises are the most distressing. Noise coming from sources such as dripping taps and ticking of clocks can contribute to environmental noise pollution.
• f.Communication is a learned behaviour because the sender and receiver know about situation very well in which massage send or receive. Feedback depends upon reciver’s behivour.
• g Empathy is to identify with another's feelings. It is to emotionally put yourself in the place of another. The ability to empathize is directly dependent on your ability to feel your own feelings and identify them.Without empathy ,there is no communication.Receiver and sender hear each other properly,if they have empathy.
