Q:1 Michael work as a sales representative in New South Wales showroom and warehouse of the wood Panel Division of a large Australian company ,Wood stone .Senior buyers for a large kitchen joinery firm based in Queensland and Victoria visit the New South Wales Showroom and show a keen interest in the new product .Michel is able to make further contact with this client firm by letter , telephone or personal visit :
a) Outline the advantages and disadvantage of the three possible channels of communication?
Letter writing is one of the possible channels of communication
Advantages;

We can express our ideas briefly.
Everyone can easily recognize.
Letter is less cost.

Disadvantage;
We cant send confidential letters
it takes more time to reach .
It takes longer time to receive
We can’t get response instantly.

Telephone is a possible channel of communication.
Advantages;
its quick way to contact to other person.
it is easy to access .
by phone it also capture good response .

Disadvantages;
If line is busy we can’t get line quickly.
Sometimes technical problems occur.
Telephone is a fixed line, so may be we can’t answer.
Mobile phones can be expensive
They can damage your ear

Personal visit:
Advantages;

Best way of Communication, we can express feelings
We can get instant response.
We can easily understand the personality of other person.

Disadvantage;
The other person can easily understand our policy. So it may causes attack.

In my opinion telephone is good for contact. Because we can connect easily.

Question: 2 a) One of the most important skill that any person in an organization needs is the ability to communicate .Without communication your other skills are less useful. Explain the meaning of this statement?

Answer: Everyone keep good communication skills so we can easily communicate each other. Good communication skill is most important for any person without good communication skill we cannot make up career like every origination where employee work, employee need to communicates with other colleagues, customers and client if they cannot communicate properly than any business cannot run.

Answer: Communication is essential for an organization they must train their staff in workplace. Then the company can give a good interaction to the customer. So the company will raise their production.

a)
When I went to see a movie. One Gujarati and Marathi speaks the language. Then one said to another see my bag.
One day when talked to my friend through phone that I will reach the station by 1 noon but due to fault in network he heard it as 2 noon’s.
it is very not civilized person behavior

Q- 4. (a) Identify the communication barriers that occurred and explain briefly in two paragraphs how they contributed to the misunderstanding between Mary and David.


David and Mary meet in David’s office and discuss about the new software package then one person call to David so telephone call is interrupted to David and another person ask his problem to Mary so another communication barrier is that person who breaks the continuous conversation between David and Mary.


David & Mary discuss about new software package on tomorrow’s staff meeting at that time David answer and deal with a telephone call then continuous conversation with Mary so Mary think David present the procedure on tomorrow staff meting.


Another chance is one person is enter to the David’s office and interrupts the conversation to ask Mary to solve a problem in the delivery time for stock after solving the problem Mary tell David she has an another appointment so David think she will present the new software package on tomorrow staff meeting.

Here we can see, the interruption is made lot of misunderstandings each other.

(b) List two sources of noise at the initial planning meeting.


Communication device noise (telephone call)
Sound of a person may interrupt the conversation.
Noise from outside.


(c) How could Mary and David have dealt with the noise or interference in their planning meeting?

Marry and David have to deal with the noise of phone calls and so many interference by the another persons in their meeting. The message received is not necessarily the same as the message sent. Something other than the intended message is received because noise, or interference, interrupts the intended message. They managed it by attending all these calls and other persons very well. At last these noises and interference have bad effect on their conversation because of it they had to face misunderstanding and confusion during their meeting.

Answer:
a) Good communication skill helps to increase the companies reputation and it also can improve the employee productivity satisfaction and skill also.

b) Message is the information we want to send. If we want to send a information we must need a medium that is called channel.

c) Feedback can be transmitted in nonverbal communication by body language, face expressions and gestures.

d) Cultural background and attitudes of the sender and the receiver.

e) It may affect many ways like misunderstanding, confusion. Noise may create problem in receiving and sending process, because noise interrupts the intended message. The receiver can become angry and retaliate.

f) Yes, I am agree with the statement Because “communication is a learned behavior”. We can develop the listing, speaking, questioning and feedback skills when dealing with others about simple, routine matters and effective communicators. We can use these interpersonal skills to greet others find out and satisfy their expectations and needs and finish the interaction courteously.

g) It can assist the development of good working relationships and productivity of the business. All of us have ideas about what is wrong or right, we derive them from the variety of values and conventions throughout our lifetime.

Question: 6)
a) Person [A] gives views in the favour of high sales of shoes but person [B] gives just opposite views about it. Both do not give proper feedback to each other. Then other person summaries the views of A and B and said positive and negative points about the sales of product.

(B) Other person summarized the discussion properly. It will develop lot of communication skills.









INTERVIEW


I would like to discuss about interview. In it I am the interviewer. Renuka is the candidate. The other girl Sandeep is Observer. Then I noted some points about Renuka.

Renuka is 22 yrs old. Married came from India. She is from Gujarat and royal rich hindu family. Her father is a business man. She have completed her Mcom(2008-2009) at Gujarath university Ahemedabad. She is very much interested to work become a bank manager. Her bank manager told that this field is very suitable for work. And she had a dream that is become a bank manager. And she like to work on mornings because of that freshness. But now she ready for any part time at any time. Her grand father influenced in her life. She came Australia for further studies and get permanent residence for settle here. And I asked her about the Gujarat food. Then she said she likes it very much and the cultural festivals also. She speak about her favorite festival Divaly Because, that day she play gharha, decorate house with lot of lights. And I understood she know the responsibilities of married life. And also she have good knowledge about cooking.

Thereafter I observed Renuka when the both girls interviewed each other. She started with a good interaction. Ready to say answer. Her communication is very good and fluency of language also very good.She used very simple language that’s why everyone can easily understood. Sometimes her words and timings are inappropriate . She have a good knowledge about her responsibilities.

In conclusion, we must learn the language. If cant it will affects our communication skills.
