1. Michael works as a sales representative in the New South Wales showroom and ware house of the wood house of the wood Panel Division of a large Australian Company, Wood stone. Senior buyers for a large kitchen joinery firm based in Queensland and Victoria visit the New South Wales showroom and show a keen interest in the new products. Michael is able to make further contract with this client firm by letter, telephone, or personal visit.
a) Outline the advantages and disadvantages of the three possible channels of communication.

b) Decide which of them Michael should use for the first follow-up contact with this potential client. Give reasons of your choice of channel.

A. Three possible channels of communication used by Michel (sales representative) and senior buyer (large kitchen joinery firm based) are letter, telephone or personal visits.

At very first time, senior buyer visited to Wood Panel Division and get impressed towards Michel’s presentation. He began to place the orders’ segregate to his company products by telephone call and letters. Senior buyer visits twice in two months to Wooden Panel Division to purchase new different types of Wood panel. At the first few months of their introduction there is no delay in summition of purchase order but later there are few destructions’ in communication with telephone call as the Senior buyer move to out of coverage from telephone signals, purchase order or personal visits.

B. The first purchase preference would be personal visit and this could be at least twice in a month, if possible get proper communication with telephone call after these visits. If the order copies get delayed after senior buyer’s first visit in that month, then there would be chance to get order along with him in his next visit by intimating through phone call before his second visit.

a) ‘One of the most important skills that any person in an organization needs is the ability to communicate. Without communication your other skills are less useful.’ Explain the meaning of this statement.
b) Should an organization train its staff in workplace communication? Give reasons for your answer.

a) Communication play important role in every person to get best position in as organization. A person with good technical skills but poor in communicate with the employees or employers, he would get best position more experience compare to the person with good communication skills and technical skills. For instance, a person owns extrodinary technical skills but poor communication. He attended many interviews’, get rejected with his low performance in communication. He could able to get job in small organization and earns low wages to his work. After 4yrs of his experience, he was noticed by the chair person of well know organization as the chair person visited to the organization he works’. This person gets an offer from chair person to join in big company as he couldn’t expect the job with more wages to his work. At last his dream comes true with lot of experience.

b) Most of the employees in an organization are partially perfect in workplace communication. To increase the development of organization it’s most important factor to train its staff in workplace communication.


3. Working in groups of three:
a) List three statements that you have written or spoken (or observed) that were insensitive to the receiver’s feelings.
b) Discuss the fort of communication barriers caused by each of these statements.
c) Re-state, to the people you are working with, each of your three statements in a more sensitive way and ask them if they think the new version would be more effective.
d) Discuss three ways in which communication barriers can affect interpersonal communication.

a) Spokes person unable to receive feedback due to disturbance of external noise as they walk on road side. He couldn’t understand the receiver’s sentence.

b) The causes of communication barriers occur with the two persons have communication. The spoke’s person is dominated among both the persons. He neglects the observer thoughts and body language. Spoke’s person neglects the expression given by the receiver even he hard to listen his sentence. While both were at stood at noisy place and hardly able to get voice of each other.


4. Two colleagues, Mary and David, meet in David’s office to discuss the introduction of the new software package on the agenda at tomorrow’s staff meeting. As they talk through the procedure to introduce this package to other staff:
• David answers and deals with a telephone call and then continues the conversation with Mary;
• Another person enters David’s office and interrupts the conversation to ask Mary to solve a problem in the delivery times for stock;
• When Mary has provided the solution, Mary and David resume their discussion;
• Mary looks at her watch and exclaims that it is time for her next appointment;
• As they rush to finish their plans they discuss who will present the new software procedures at the staff meeting. When that item comes up, Mary expects David to present the procedure; David believes Mary is to present it.
a) Identify the communication barriers that occurred and explain briefly in two paragraphs how they contributed to the misunderstanding between Mary and David.
b) List two sources of noise at the initial planning meeting.
c) How could Mary and David have dealt with the noise or interference in their planning meeting? The checklist on page 11 can be used to evaluate your answers.

a) In the initial stage of discussion among Mary and David, there is an interruption of David telephone call. As the discussion continues, there is couple of disturbance with the 3rd person to solve the problem in the delivery times for stock by Mary. Before the discussion gets over, two things were bothered Mary by time for next appointment and insufficient time schedule.

Due to insufficient time to their project they hardly make a decision of a person to present the presentation in new software procedures at the staff meeting.

b) David telephone call and the 3rd person interrupted to Mary to solve the problem are the sources of noise at the initial planning meeting.

c) As both David and Mary gave the importance to the project discussion but there are interruptions which could laid to cause unsuccessful in presenting the discussion..


5. In a group discussion present your point of view on the following.

a) Maintain proper media of channel of communication leads to development of an organization of workplace.

b) Message is information to understand by the receiver and the media used to send the message is Channel.

c) It could be transmitted trough graphic design, symbols and expression of body language to give the feedback where he couldn’t reach by the verbal communication.

d) Noise and context are the factors that influence a person’s perception of the message.

e) There are two types of noise; high noise leads to affect the communication in negative way like misunderstand in the discussion and negligible noise affect the communication in positive like give u pleasant environment.

f) I agree with the given statement. Communication play important role in every human life, show the person’s dignity and identity.

g) To maintain good communication with the people to maintain good relation in the community it is important for sender and receiver of a message to have empathy for the other person.



6. Checking what other person said:
a. Work in groups of three (A, B AND C).
• Person A and B are to discuss a topic of interest by talking opposite sides. Person C is the observer.
• Person A opens the discussion. Person B gives the feedback to person A by summarizing what person A has said before giving an opposing views. Person A summarizes what person B had said before person A continues with their opposing view.
• Continue this for 10 minutes. When person C believes that either person A or B has not summarized the other person’s point of view accurately person C can give feedback to both A and B.

b. After 10 minutes discuss the advantages gained by checking what the other person said


a) Two people (person A and person B) were discussing about an interesting topic and they couldn’t get proper feed back to each other. The discussion went on for 10mints; third person (person C) noticed them from the beginning, their communication barrier lead to miscommunication. He explains the both the feedback to them to avoid the confusion of their discussion.

b) They both gain how to communicate and empathy of the people.

Satvir completed her +2 in Swami Roop Chan Jain School in Punjab.
Her place is in Ludiana that’s in Punjab.
Her hobbies are listening to the music and playing badminton and enjoying by spending the time with dear ones.
Her favorite Indian festival is Diwali. On this occasion most of the time spends with her brother by lit the candle and fire the cracker’s compare to time spend with her parents.
Rules in the school were strict.
She has no experience in relative field
She used love going to the school because she had lots of friends over there
After her +2 she came to Australia to study Graphics and Multimedia


My second interview was with Parminder Kaur

Parminder did her +2 in Govt senior Secondary School in Punjab.
She completed her graduation in arts in Guru Govind Singh College.
Her hobbies are reading books, watching TV, enjoying with friends and relatives.
Her place in India is Chakar that’s in Punjab.
The rules in the college were very good and she used to enjoy going to the college.
She had lot of friends in college.
She also does not have any experience in relative field .
After her graduation she came to Australia for her studies in graphics and multimedia.



After my interview I observed the interviews between Satvir Kaur and Parminder Kaur
I noticed that there were some communication barriers

• The conversation was not clear
• Message was in appropriate
• The receiver was in attention in both the interview
• Inadequate feed back
• Inappropriate timing in answering the questions

In both of their interviews these were the communication barrier

I would like to discuss about, two people feedback at the time of interview to both of them, the observation while two girls interviewed to get the feedback each other. Two girls were Rajwinder Insa and Harjeet Kaur Sidhu.

Rajwinder insa (Preeth)
 Preeth have done B.A., B.Ed AND M.A in her education.
 She experienced as a teacher after the completion of studies in India.
 Rajwinder Insa’s hobbies are reading books’, dancing and enjoying by spending the time with dear ones.
 Dance is the most interesting among the hobbies, she participated in dance competition relates to culture dance and national dance while she studied in school and College.
 Her favorite Indian festival is Diwali. On this occasion most of the time spends with her brother by lit the candle and fire the cracker’s compare to time spend with her parents.
 It’s a wonderful experience as her step into the world as her dreams come true.
 To be a good human being because she thinks, a good human could be a good leader, teacher or a doctor. Preeth wants to be a good person.

 She planned to move abroad immediate after her secondary education.
 Her hobbies are reading books, listening songs gives of sign of sad memories. She likes to spend the leisure time one among the nature and enjoy the beauty of it. In addition, Harjeet likes to spend the leisure time with old people experienced lot of things in their life.
 Diwali is the favorite festival, she enjoy with the fired crackers’ emits glow at its surrounds.
 Harjeet couldn’t explain about the Australian Culture, as she doesn’t know about it.
 She hasn’t decided set her aim because her thinking the aim couldn’t get done as it will not come true in real life.


While both the people interviewed each other, I could able to observe good and drawback of their feedback with each other.
Among them, Rajwindar performs good thoughts and explanation at the time of interview and interviewed to her. There is little drawback like, very low voice but faster pronunciation, perfection should maintain while she interviews or interviewed by the person.
Second, Harjeet performs high voice but lack of clarity in her sentence. Balance should maintain while compare two nations’, negative thoughts should be implement with positive sentence (Example: she said “I cannot explain about Australian Culture as I don’t know about it instead, I could explain about the Australian culture if I have knowledge about it.)

What is the Internet and how does it work?
The Internet is a network of networks that connects computers all around the world.
They are linked by copper wires, fibre optic cables, wireless connections and other modern technologies. It contains a huge amount of information resources and services.
Hypertext
Is text displayed on a computer that may contain tables, images and other presentational devices as well. It also includes references called hyperlinks that you can acces by clicking them.
Email
Email is electronic mail that you can send via the internet. Most of the email system is based on servers that store and deliver your mails so that you can check your messages from any device that is connected to the internet.
VOIP
Stands for voice over internet protocol and is telephony over IP networks.
It contains all voice messages that are transported via the internet and not the public telephone network.
WIFI
Wifi is mostly used as a synonym for wireless LAN. Which is a wireless internet connection. It is also a trademark of the Wi-Fi alliance.
Bluetooth
With Bluetooth you can create personal area networks. It is an open wireless protocol to exchange data over short distances.
BitTorrent
BitTorrent is a peer to peer file sharing protocol. It is used for sharing large amounts of data.
URL
Stands for uniform resource locator and is basically the unique address of an internetpage.

Today there are a lot of programs and applications that allow users to send and receive messages in realtime over a network like the internet. All the messages are based on hypertext.
Streaming Media
Streaming media means that you dont download the whole mediafile to keep it on your computer. The data only gets stored in your cache and is deleted after you showed or played the media.

Domain Name
Is the unique name and adress of an internet page. It is an identification label that shows the authority and administrative automomy in the internet.
Website Host
A website host sells his webspace on his servers to individual users to create their own internet website.
The World Wide Web Consortium
Creates and develops standards for the world wide web. It is the main international standard organisation for the WWW.
IP Address
Is a unique address that every computer gets as soon as he logs onto the network. (Stands for internet protocol address)

Web Browsers
A web browser is the platform you use to surf the internet. You can reach any single internetpage in a webbrowser by typing in the URL in your address space. It is a software application that allows you to share information on the internet.
Internet Explorer
Has been the most widely used webbrowser for a long time. It is made for windows but now can be also used on a mac.
It supports HTML, CSS, XML, DOM, XSLT but does not support XHTML and SVG.
The standard features are tabbed browsing, use of different toolbars, search functions and so on.
Firefox
Made by mozilla. It is the second most widely used internet browser. It contains a lot of features and plugins that make the use of the internet more comfortable. Like the option to show all content of the page in a plain way (for example on myspace to read hidden content) or the option to download any media from any page as well as flash plugin block and so on. It can also reopen your last internet session in case you computer crashes.

Safari
Safari is the standard browser on mac. It contains features such as spell checking, pop up blocking, tabbed browsing, different toolbars, text search and so on. You can also save parts of web pages as web clips for viewing on the apple dashboard.
Opera
Is a browser that runs on windows, mac and also linux systems. It is pretty strong on the mobilephone market. It contains features such as automatic password fill in, pop up blocking, downloadmanagers, an email client and so on. You can download lots of plugins but opera limits what they can do so that no third party can introduce any bugs.
I personally use Safari on my mac but found firefox as the most comfortable browser to use. I tried opera as well but it always seemed to have problems especially with playing media on my mac so i never use it anymore.

Search Engine
A search engine is a webpage or plugin that searches the internet for content. You can type in words and phrases and it delivers you all webpages in its library that contain the searched information. Different engines have different libraries though as well as different results.
The most popular engine these days is google.
FTP
Stands for file transfer protocol. It is used to exchange and manipulate files over a network.
Internet Protocols
PPP
Stands for point to point protocol . It is used to establish a direct connection between two networking devices.

POP3
Stands for post office protocol and is used to retrieve meail from a remote server. It identifies specific messages by their ordinal number on the mail server.
TCP IP
Stands for internat protocol suite and is a set of communications protocols used in networks. It is named after the two most important protocols in it – the transmission control protocol and the internet protocol.
HTTP
Stands for hypertext transfer protocol and is used to retrieve interlinked resources on the world wide web.
MIME
Stands for multipurpose internet mail extensions and is a standard that extends the format of email to support text in character sets other than the ASCII system, non-text attachments, message bodies with multiple parts and header informartion in non ASCII character sets.
SMTP
Stands for simple mail transfer protocol and is a protocol for email transmission across IP networks.
Scripting Languages

HTML
Stands for hypertext markup language and is the main language used for internet pages and content.

DHTML
Stands for dynamic HTML and is used to create interactive and animated websites.

XML
Stands for extensible markup language and is a set of rules to encode documents electronically. It is mostly used for the representation of arbitrary data structures e.g. in web services.

Javascript
Is a scripting language used for the development of dynamic websites.

Acces
ADSL
Stands for asymetric digital subscriber line and is a form of dsl.
It makes the data transmission over copper copper telephone lines faster than a conventional modem.
ISDN
Stands for integrated services digital network and is a telephone system network. Ist slower than dsl. Its main feature is the use of speech and data on the same line.
Dial Up
Provides internet access via telephone lines. The computer uses a modem connected to a telephone line to dial into an internet service providers node to get a modem to modem link.
Cable
Is primarily used to deliver broadband internet access by using the high bandwith of cable television networks.
Satellite Internet
Is used where other internet connections arent available. It is available almost worldwide and uses satellites to connect the devices of a network.
ISP

The best way to follow up is Telephone because these days everybody is busy and it is very hard to find spare time. So, I think that the telephone is easy and quick to contact. It allows for immediate feedback such as the opportunity to ask questions when the meaning is not entirely clear.
